Notes on the live releases to the Ubiquity book and press platform are listed below, including bug fixes, new features, and enhancements to existing functionality. Bug fixes specific to individual installations are not listed. The dates given are for the end of the development sprint cycle, not the exact date that the release was completed.

PLAT-2232 Enhancement Rua: Featured book setting The 'Featured Book' setting was previously only available once the book was published. The UI has now been updated so that books can be marked as Featured at any point in their workflow. The book will still only display on the press website once it has been featured. This will help to remove unnecessary post-publication admin tasks.

PLAT-2151 New Feature Rua: Skip email function (proposals) The proposal workflow in Rua now allows a book manager/editor to skip sending emails to the author when logging editorial decisions (e.g. they have already had an email conversation via other means). The ‘skip’ button appears on the send email screen.
PLAT-2175 Bug fix Press platform: Book citation error The Harvard citation displayed an error if the book was an edited volume with more than 3 editors. This formatting error has now been corrected.

PLAT-2202 Enhancement Rua: change to how book owners are assigned Each book in Rua as an 'owner', who will receive the communication regarding the book. In some scenarios, an owner was not being assigned automatically, and a small assignment bug was discovered. Both of these issues have been updated.

PLAT-1866 Enhancement Rua: Provision publication date A book marked as ‘Coming Soon’ does not now require a provision publication date. Previously this was mandatory but is now optional.

New Feature Rua: Enhanced digital formats

Two updates have been made concerning the Digital Formats for a book:

  • It is now possible to add a digital format prior to publication without uploading a file. This allows ‘coming soon’ books to display ISBN information without making a file public prior to publication
  • It is now possible to add an ‘Online’ publication format. If a book has content published elsewhere (e.g. an interactive textbook) then the online format can now point readers to the location

PLAT-1386 & PLAT-1841 New Feature Rua: Enhanced metadata Rua now has functionality to select both BISAC and Thema codes from within the system, including an option to map the BISAC to Thema, if desired. These metadata entries then feed into the public API, allowing for increased metadata both on the press platform an external platforms that use the public API.
PLAT-1779 Enhancement Metrics: Clarification of terms

After the change of metrics system in 2023, the terminology of the data was not clear. The metrics definitions have now been updated so that they are more understandable:

  • (Press GA) is now (Publisher site <July 2023)
  • (Press logs) is now (Publisher site >July 2023)

The earlier metrics are from the original Ubiquity metrics platform. The later metrics are following the switch to the OPERAS metrics platform.
PLAT-1786 New Feature Metrics: Google Books

Books that have been added into Google Books will now show as part of the aggregated book data. Google Books data now appears when the ‘Abstract Views’ and ‘Reads’ are expanded - e.g. see

PLAT-1387 New Feature Rua: Proposal and Submission notification emails A function has been added to dictate which Press Editors receive email notifications when a new proposal or submission is received. Previously all Press Editor users would receive the email. There is now a setting in the Manager > Notifications menu in Rua to dictate which users should receive the email. If no user has been selected then the default will be that all Press Editors are notified.
PLAT-1395 Enhancement Rua: Deletion of unwanted books in Rua Processes have been put in place so that is a book is deleted from Rua then all associated data and files are also removed (e.g from press website search results).
PLAT-1751 Enhancement Metrics: Crossref CitedBy definition The OPERAS metrics include links to definitions for each data source. This was missing for citations. Expanding the Citations data on the publication page will now provide a link to a definition that describes how the data is collected.
PLAT-1804 Bug Fix Rua: Publications table ordering The table of published books didn’t correctly list the titles when filters to show in publication date order. This has been fixed.

PLAT-1764 New Feature Rua: Archive function for proposals Following from PLAT-1389 (below), Rua now has an Archive function for proposals as well as full submissions. The Archive function appears for all submissions and will be useful to complete tasks such as removing duplicate submissions, or removing books where the author withdraws, without having to contribute to editorial decision metrics. Archived books will be avaiable via the Overview page. It is also possible to unarchive a book. Instructions have been added to the Rua Editor Guide.
PLAT-1800 Bug fix Metrics: collection/display errors The display of some metrics was temporarily not updating on the journal/book websites. This has now been fixed.

PLAT-1389 New feature Rua: Archive functionality It is now possible for a book editor to archive a book submission from Rua without having to log an editorial decision. Previously a book could only be removed via a ‘reject’ or ‘publish' decision. The Archive function now appears for all book submissions and will be useful to complete tasks such as removing duplicate submissions, or removing books where the author withdraws, without having to contribute to editorial decision metrics. Archived books will be avaiable via the Overview page. It is also possible to unarchive a book. Instructions have been added to the Rua Editor Guide.
PLAT-1389 New feature Rua: Rejected book list Once rejected, books were removed from the editor dashboard and not surfaced anywhere without knowing the submission details. All rejected book submissions now appear on the Overview page, meaning that they will be easy to find without any prior information.

PLAT-1640 Bug fix Rua: sequence of authors/editors not correct on publication The correct order of editors/authors for a book were not being correctly represented on the press website at the point of publication. This bug has been fixed so that the book page will be identical to the author list in Rua.
PLAT-1452 Enhancement Rua: Supplementary file functionality Additional functionality has been added to the ability for a published book to manage supplementary files from within Rua. This allows the book to either hosted the file directly, along with associated metadata, or to link out to an external location (e.g. data repository). The information and link to the files will then appear on the new press sites.

PLAT-1627 Enhancement Rua: Make publisher list alphabetical Press portals that publish books from multiple publishers now have an improved interface in Rua to assign each book to the specific publisher.

PLAT-1592 New feature Press platform: download MARC records A download URL has been created so that it is now possible for anyone to download the full list of MARC records associated with any press on the Ubiquity platform. MARC records are required for many indexing and dissemination platforms, as well as ingestion into library catalogues.
PLAT-1595 Enhancement Press platform: SEO assessment A thorough investigation was conducted on the new press platform to identify potential areas of improvement regarding SEO. Implementation of issues found will be completed in future.
PLAT-1598 Enhancement Metrics: UPLO usage as a separate source Books published by UPN members may now also be hosted on uplopen.com, meaning that they can be accessed from different locations on the Ubiquity platform. The work completed here isolated the different sites so that usage can be identified and displayed (e.g. did a download come from the publisher’s own site or uplopen.com).

PLAT-1556 New feature Press platform: Semantic AI search

The new press platform now includes a ‘Semantic’ search, alongside the traditional text search. Whilst text search simply matches the inputted text against the appropriate metadata to look for a direct match, the semantic search uses AI approaches of Large Language Models, vector databases, and Resource-Augmented Generation to consider the meaning of your search queries, and return books that cover the same concepts. This can provide a larger number of relevant results than standard keyword search, which only returns books containing words that exactly match your query. The search will also provide results from different languages as the tool will complete translations automatically.

PLAT-1514 Enhancement Press platform: frontend implementation The new press platform now includes options within the book author information so that the site user can search for that author directly from the book page, with a search on the press platform and a search on Google Scholar being available. This function will allow site users to find additional publications by the same author.
PLAT-1311 & PLAT-1548 Enhancement Press platform: frontend implementation

The new press platform now has increased branding opportunities for the publisher, including:

  • press logo above the book cover image
  • press name within the book metadata

both of the above can then link to:

  • a publisher book list, complete with press logo, location, and description, and all books published by that publisher/imprint

These functions will be especially useful to those platforms that publish books under multiple imprints, as each imprint will now be more distinguishable.
PLAT-1105 Enhancement Metrics: Add book download definition The ‘Book downloads (press: logs)’ had erroneously been omitted from the metrics definitions. This has now been added so that all metrics have links to the definitions of what is being counted in the footer of the metric.

PLAT-1298 New feature Metrics: Display of usage maps The journal and books platform now displays a map to show where users of the book/article are based. Geolocation is obtained via the IP address of the person reading the content. Once the country has been logged, the IP address is then deleted, meaning that the platform can display the map whilst remaining fully GDPR compliant as no personal data is being collected and stored.
PLAT-1405 New feature Metrics: Usage reports split by imprint The usage report for books will not be filterable by imprint, meaning that any partner on the Ubiquity platform that hosts books under different imprint names will be able to easily group usage data by the imprint name.
PLAT-1459 Enhancement Metrics: connection to new journal frontend. With the roll out of the new journal frontend, the metrics platform has been adapted to integrate with the new platform to ensure that all views and downloads are correctly logged.

It is no longer possible to edit the URL of a series once the series has been created without the help of the system administrator.
PLAT-1213 Bug fix Rua: Languages not saving A bug was discovered whereby the language selection in the book metadata was not saving, meaning that recent books did not have a language saved in their output. This but has been fixed.

PLAT-1162 Enhancement Rua: Removal of spam accounts Some Rua accounts experienced a high number of spam accounts registering on the platform at the end of 2023. Measures have already been taken to block such registrations in future (see PLAT-1095, below) but the existing spam accounts have now been removed.
PLAT-1153 Enhancement Metrics: updated bot list The list of bots being blocked by the OPERAS metrics has been updated. It now matches the COUNTER bot list, with additional known bots also added.

PLAT-819 New feature Rua: Add 'Assign Editor' email template & function Previously, when an Editor was assigned to a full book submission, no email was sent out to notify them of this action. This has been updated, so that each new editorial assignment/unassignment now generates an editable email that will be sent to the relevant editor. The email templates can be found in the Settings menu, with the title ‘assign_editor_to_book’ and ‘unassign_editor_from_book’.
PLAT-890 Enhancement Rua: Enhanced chapter ordering Chapter management has been improved so that the UI includes a drag and drop function to allow chapters to be easily reordered by the Production team. The fields required to create new chapters have also been ‘cleaned’ so that the UI is more user friendly.
PLAT-889 Bug fix Rua: Deletion of chapter formats When pressing the button for a chapter format, the user would be presented with an error message, without deleting the format. This has been fixed so that the delete button is functional.

PLAT-805 Big fix Rua: Order of authors now retained When publishing a book, the order in which the authors appeared in Rua was often changed during the publication process, resulting in the need to manually change the order post-publication. This has now been fixed so that the order will be retained.
PLAT-814 Enhancement Rua: New API A new API has been created for Rua, as part of the project to move all partner presses to a new platform. The API will be tested and developed further over the coming months.
PLAT-816 Bug fix Rua: Author names prefixed by '1’ A bug had been introduced where the author list during submission of a book displayed a '1’ before each author name. This has been fixed so that only the names display.
PLAT-822 Enhancement Rua: security improvements Core Rua infrastructure has been upgraded to enhance security of the platform.
PLAT-824 Enhancement Rua: Remove the need for an Author to have an Email mandatory An email address is no longer a mandatory field when entering author data into a book submission (emails are still recommended and submitting users still do require emails).
PLAT-833 Enhancement RUA: Retaining contributor data when a submission changes between Monograph and Edit Volume If a book submission was incorrectly submitted as a monograph or edited volume and then later swapped category, the author/editor information was duplicated as both author and editor data and thus needed to be edited. Rua will no longer do this, so that the re-assignment to monograph/edited volumn will correctly transfer the author/editor data into the mirrored location.
PLAT-845 Enhancement RUA: Add ability to alter chapter Author sequence The previous method to alter the order of chapter authors was labour intensive. A new drag and drop function has been added so that ordering can be changed with minimal effort.

PLAT-729 Feature RUA: Strip properties from uploaded Reviewer files When a reviewer uploads a file as part of their review feedback the source file may contain properties that disclose their identity, potentially compromising an anonymous peer review process. A feature has been added so that if the Rua installation has the default_review_type setting as 'Closed ' OR 'Open without Reviewer info ' then the identifying properties of file(s) submitted by the reviewer are removed.
PLAT-765 Bug fix Rua: Improve formatting for downloaded proposal forms Once received, a proposal can be downloaded as a .docx file by the editorial team to help share and process the information. The display of this file has been improved so that the exported download of the submitted proposal form will be easier to read and be closer to the version seen within Rua.
PLAT-754 Enhancement Press platform: enable server logs In preparation for the upcoming OPERAS metrics being displayed for books, all press sites are now having their server logs added to the OPERAS database. These logs will supply data for book usage in the future.
PLAT-773 Enhancement Press platform: Improve book metrics widget In preparation for the upcoming OPERAS metrics being displayed for books, the widget that will display the usage data has been updated to incorporate stacked graphs when multiple data sources are being used. This will allow the user better insight into where the usage is coming from.
PLAT-774 Enhancement Rua: Upgrade to latest version of Django (ongoing) Rua infrastructure is being updated to be on the latest version of Django, the Python-based framework that Rua is build with.
PLAT-799 Bug fix Rua: past dates required for Publication Date A recent update to date fields (see PLAT-758, below) caused an error, where the publication date for a book could only be set for the present day or future. This was a problem when loading back lists of books. This has now been corrected, so that the publication date can be in the past, present or future.

PLAT-758 Bug fix RUA: All date fields can only be set in the future Date fields (e.g. reviewer due dates, or proposal fields) could previously be set in the past. As such assignments would only be in the future so the system now restricts the user to only input a future date so that bad data cannot be entered.

The function to email the user when an assignment due date is changed has been added to all relevant pages.
PLAT-749 Bug fix RUA: Add email tag to email templates Update to email template tags so that both {{book.owner.profile.salutation_name }} and {{submission.owner.profile.salutation_name}} will render the submitting author’s name when included within the sending email.
PLAT-734 Bug fix RUA: activation-deactivation of licenses The manager > Licences page was not saving the licence configuration correctly if updated. This has been corrected so that changes to the licence availability will be saved and reflected on the user interface.
PLAT-730 Enhancement RUA: Declined review assignments list If a reviewer declines a review invitation for a full submission the interface previously had a limited space to display the complete list of reviewer details. This display has now been updated so that the list can scroll, allowing for editors to see the full list regardless of how many users are listed.
PLAT-702 Bug fix Rua: Merge users not working The function to merge two existing users into a single profile was not function. This has now been updated so that the ‘merge users’ option in the Press Editor options is functional.
PLAT-728 Enhancement Rua: Add email queue (celery) Emails sent via Rua are now using infrastructure that uses a asynchronous task queue/job queue so that email sending is more robust. The Rua users will see no difference, but the behind the scenes email workflow be more reliable with logs of each action created.
PLAT-697 Bug fix Press platform: Spanish language pack updated The press platform previously didn’t have a translation added for ‘metrics’, meaning that this text was not displayed for book metrics. The translation has now been added so that this term now displays.

PLAT-694 Enhancement Rua: email code review and ‘show the sender name’ A comphrensive review of the code related to emails was completed and associated tasks that arose from that. Included within this was work to ensure that the senders name appears in the recipient inbox in a clear and understandable display. Previously some emails would not have displayed the sender, making them more likely to be ignored by the recipient. All emails now display the sender name or primary contact for the Rua installation.
PLAT-695 Bug fix Rua license setting A recent enhancement to the licensing options led to the unintended consequence that a Press Editor could inadvertently change the licence without meaning to when editing other metadata. The user display has now been updated so that it is not possible to change the licence without a clear user interaction with the licence field.
PLAT-722 Bug fix RUA: mandatory fields in proposal & review forms were not set as required for the user Despite forms having some elements set to be mandatory, the user interface was infact allowing forms to be submitted even when these fields were empty. This error has been corrected so that it is now not possible to submit a form is any mandatory fields have not been populated.

PLAT-676 Bug fix Rua: Peer Review Form information text cannot be changed An error was previously generated when a Press Editor tried to change the Title, Introduction text, or Completion text for a review form, leading to the inability to save such changes. The core form information, such as the title, can now be changed without causing this error or creating a new version of the form.
PLAT-671 Bug fix RUA: Diacritic characters Certain displays in RUA previously displayed the HTML code instead of rendered diacritic character. This display error has now been corrected.




PLAT-726 Bug fix RUA: Review Form Dropdown showing False after name When assigning a proposal review form, the editor was being presented with a list of the available review forms, but they had the word ‘false’ appended to the form name. This has been corrected so that the text does not show.
PLAT-700 Bug fix RUA: Possible to create users without a registered contact email It was possible to create users that did not have an email address associated with their user details. This would mean that the editorial workflow would appear to be functional, but no emails would be sent. This has now been updated so that all user accounts must always have an email account in their profile.
